Sales Operations Executive

Reporting to Head of Pre-Sales, the successful candidate will serve as the operational heart of the Sales organisation with responsibility for implementing and managing Sales Operations best practice and use of sales tools and processes across the Sales team. In addition, the Sales Ops Exec. will work hand in hand with the Head of Pre-Sales on key sales opportunities including the management of selected RFI and RFPs. This role will be based in Dublin within the Sales Team, but will entail considerable cross-functional involvement and some travel.

This role requires excellent organizational, administrative and communication skills as well as an interest in metrics, reporting tools and sales data management.

Main Responsibilities

Sales Systems and Processes – direct responsibility for the tools used by the Sales team incl. Workbooks and Sales Hub. Ensure team is up to speed with enhancements and onboard new Sales team members. Act as main point of contact on cross system data with Marketing – e.g. Hubspot
Sales Reports – production of scheduled reports to reflect sales activity and performance which can be communicated across the business. Ad hoc reports as needed. Liaise with SVP Sales and Finance to evaluate new tools which can help us track KPIs– e.g. Microsoft Power BI
RFP/ Sales Pursuit Coordination -   assist in coordinating the plan to ensure timely and quality submissions of materials/positions as part of a sales pursuit.  Includes tracking dept. deliverables/dependencies across the company and flagging any risks. Requires close collaboration with Delivery, Product, Marketing and other areas which provide input to our responses
Sales Materials Coordination - assist in coordinating sales materials for meetings and large-scale bids (e.g. presentations, proposals, etc.).  When required, prepare draft sales material using available Sales Collateral and with guidance from the Sales Lead
Sales Collateral Management – liaise with Head of Pre-Sales on management of Sales Collateral (Sales Hub/ RFP Database/Knowledge Team)
Marketing Input Management – liaise with Marketing to ensure most up to date Marketing inputs are available on Sales Hub and used in all RFP responses including, but not limited to, customer data points, case studies, and latest Marketing positioning (e.g. on Payments)
Document Management – Lead a cull of old and out of date material and ensure most up to date templates and material are used and easily available to the Sales Team
Database Management - liaise with Marketing/Pre-Sales in managing contact database (Workbooks) and co-ordinate on lead generation including reporting to schedule on leads generated via campaigns etc as they flow through into the Sales Funnel and Pipeline
Market Research - prepare market research for key sales targets.  Includes assisting in collating data to develop proactive sales tools, such as an ROI position.

Competitive Insights – monitor competitor activity, positioning and collateral and provide regular updates to team on relevant insights
Ad hoc project work
Some International travel - to assist with Travel Industry Conferences/Shows and on occasion, to participate in Sales Meetings

 

Key Skills and Qualifications

  • Degree/Diploma preferably in Business/Sales/Marketing related qualification
  • Experience at co-ordinating activity to often tight time-frames and an ability to prioritise deliverables and adapt flexibly to customer needs
  • Must be fluent in English to a very high standard and possess strong communication skills, as liaison with potential clients and colleagues is a large focus within the job
  • Highly organised and possess a high level of administration ability and “can-do” attitude
  • Keen eye for detail and an appreciation of supporting the professional credibility of Sales
  • Possess excellent inter-personal skills and a strong persuasive ability
  • Must have excellent Microsoft Office skills including Outlook, PowerPoint, Excel and Word
  • Available to travel when needed

Desirable/Advantageous

  • Experience in Project Management
  • Familiarity with Sales tools such as Salesforce, Workbooks, Hubspot
